*** MANAGEMENT COMPANY CHANGE***
Beginning on January 1, 2017, McLean Gardens Condominium Unit Owners Association will be managed by Gates Hudson Community Management (GHCM). (View our welcome letter for more information.) Please be advised that owners' January assessment payment will need to be sent to GHCM's bank - not to CFM Management. All owners will receive a coupon book in the mail in mid-December that will include their individual account number and payment amount.

Direct Debit/ACH
GHCM encourages owners to take advantage of the ACH option which pays your assessment automatically from your checking or savings account. This is a free service that ensures your payment is made on time without the hassle of writing or mailing checks. To sign up for ACH, complete and sign the authorization form and return it to the onsite Management Office or to [email protected] along with a voided check by December 22nd. Direct payments will be initiated for withdrawal within the first five days of the month for the current assessment.
Credit Card & E-Check
You may submit your Association payments electronically through GHCM's bank, Union Bank. This is a secure online payment service provider where you can make a one-time e-check payment, one-time credit card payment, or set-up recurring e-check payments. Please note that credit card payments will incur a convenience fee per transaction.
Paper Check & Your Bank's Bill Pay
You may submit your Association payments electronically through your own bank's bill pay service, or mail a paper check yourself. Be sure to enter your account number (found on your coupon) in the memo line of the check to ensure accurate processing. Please submit the payment to:

MCLEAN GARDENS STAFF RESPONSIBILITIES
The McLean Gardens Condominium Unit Owners Association has a permanent staff of eleven employees, consisting of a Community Manager, an Operations Manager, a Finance Manager, an Office Coordinator, a Chief engineer, three Maintenance Engineers, two painters, and a part-time Operations Assistant. The full-time staff has an average length of service 14 years, and half of the employees have worked there for more than 10 years. The principal duties and responsibilities of MGCA staff members are as follows
COMMUNITY MANAGER (Iris Gilbert-Curtis: [email protected])
The Community Manager is, in effect, the Association's CEO. Her job, broadly speaking, is to manage, or oversee the management of, the Association's physical plant, day-to-day operations, and financial affairs in accordance with the Association's Bylaws and the policies and directives of its Board of Directors. More particularly, the Community Manager's direct and indirect responsibilities include:
- planning, supervising and evaluating the work of the Association's administrative and maintenance employees;
- negotiating, monitoring and evaluating the performance of MGCA contracts with service providers and consultants;
- coordinating, monitoring and evaluating major projects undertaken by the Association;
- monitoring the Association's expenditures throughout the year, and preparing the annual budget for review by the Finance Committee and the Board;
- supporting the Board by providing monthly meeting agendas, periodic status reports, evaluations, and recommendations;
- ensuring compliance by the Association with applicable legal requirements and by McLean Gardens residents with the Condominium's rules and regulations;
- maintaining courteous and productive relationships with and among McLean Gardens uni owners, residents and staff, and ensuring timely responses to their questions, concerns, and requests.
OPERATIONS MANAGER (Thomas Hickerson [email protected])
The principal duties of the Operations Manager are to oversee the day-to-day maintenance of the community's buildings and grounds, to coordinate the provision of in-unit maintenance services to residents, and to ensure that residents receive timely notices regarding matters of interest and prompt responses to their communications. Specific responsibilities of the Operations Manager include:
· inspecting interior and exterior common areas regularly to determine maintenance and repair requirements;
· reporting monthly to the Community Manager on the status of maintenance and repair projects;
· directing and monitoring the performance of Chief Engineer, Operations Assistant, and maintenance staff;
· monitoring the performance of contractors and the quality of services and products provided by vendors;
· overseeing the scheduling and performance of maintenance services for residents under the Association’s in-unit service program;
· overseeing staff responses to flooding, ice and snowstorms, and other emergencies; and
· responding in a timely manner to residents’ communications relating to maintenance, repair and safety issues.
MAINTENANCE SUPERVISOR ( Elver Garcia: elver@mcleangardens.com)
The Maintenance Supervisor assists in directing and coordinating the daily activities of the maintenance staff and supervises them in the safe operation and maintenance of the Association's mechanical systems and equipment, including HVAC facilities. The Maintenance Supervisor's responsibilities also include:
· determining work procedures, preparing work schedules and expediting the workflow of the maintenance staff;
· providing 24-hour on-call service in response to emergencies affecting the Association’s plant and equipment, and residents’ units;
· investigating and analyzing problems affecting the operation of the Association's systems, and preparing related reports and recommendations to Management; and
· evaluating work completed by staff and contractors to ensure quality and compliance with applicable regulations and Board policy.
ASSISTANT GENERAL MANAGER (Shirlian Arthur: [email protected])
The Assistant Manager has primary responsibility for the day-to-day financial and administrative operations of the Associations. Her duties include:
· preparing and maintaining employee payroll information and records;
· preparing purchase orders, assessment notices, requests for payment and similar documents relating to the Association's financial and administrative affairs;
· assisting the Community Manager in the annual budget process;
· processing resale certificates and other documents relating to the transfer of ownership of units in McLean Gardens;
· handling the rental of parking spaces by the Association;
· securing services and supplies for the Management Office; and
· maintaining Association files, records, and archives.
ADMINISTRATIVE ASSISTANT (Tracy Swann-Allen : [email protected] & Soncie Lyles: [email protected])The Administrative Assistant performs a range of administrative activities related to the Management Office, answers telephone calls and responds to inquiries from residents and the public. Among her duties are:
· preparing outgoing correspondence for distribution to residents electronically and by posting in hallways;
· monitoring the office’s key log every day to ensure that keys are properly checked out/in and performing a weekly key inventory to determine whether any keys are missing;
· updating information in the resident database;
· assisting with Board and Committee correspondence; and
· assisting Management in ensuring compliance by residents, guests, visitors, and contractors with the Association’s rules/regulations.
MAINTENANCE ENGINEERS (Paul Lancaster, Ellery Williams, and Ronald Thorne)Maintenance Engineers perform skilled and semi-skilled building and grounds maintenance and repair jobs, which require a working knowledge of drywall repair, carpentry, minor plumbing, and electrical work, and basic landscaping skills. The work of Maintenance Engineers includes:
· maintenance and repair of building hallways, electrical rooms, railings, gutters, downspouts, and drain pipes;
· installation, maintenance, and repair of benches, picnic tables, charcoal broilers, trash cans, and dog waste disposal bag dispensers;
· maintenance of parking lots;
· provision of minor plumbing, electrical and mechanical services under the Association's in-unit service program; and
· general duties such as regular inspection of buildings and grounds, trash pickup, posting & delivery of notices, window well cleaning and emergency late-night snow removal.
PAINTERS (Jaime Noriega, Felix Carranza)
Painters perform day-to-day painting and drywall repair tasks for the Association’s indoor common areas and for individual units as needed after leaks or floods. They also do the seasonal painting of picnic tables, benches, playground equipment, and curbs; help with watering trees, shrubs and lawns; and perform other duties as assigned to assist during power outages, snowstorms or other extreme weather conditions.
OPERATIONS ASSISTANT (Yvette Thomas: [email protected])
The Operations Assistant is an employee who supports the Operations Manager by handling resident's communications and requests concerning maintenance related issues, scheduling in-unit service appointments, preparing in-unit service invoices and correspondence and providing other assistance as required.
The management of McLean Gardens provides or obtains services for residents, including: Building Maintenance — Building maintenance services – such as janitorial, plumbing, painting, and trash removal, for the condominium’s common elements – entryways, stairwells, trash rooms, HVAC facilities, the pool, the exteriors of the buildings, etc. Management also provides an In-Unit Maintenance Program at an attractive cost for owners and residents.
Grounds Maintenance — Landscaping work, maintenance of recreational facilities, snow removal, trash collection, recycling facilities, etc. |

Administrative Services — Oversight of on-site personnel and contractors; after-hour answering and emergency service; responses to questions from residents and unit owners; recording and processing work orders and paper and eForms; maintenance of records and files for the membership roster of the Condominium; liaison between the Board of Directors and the community; assistance for the Board of Directors and Association committees; recommendations to the Board of Directors about contractors; and review as needed of standard operating procedures.
Financial Services — Payment of Association bills; maintenance of Association financial records; preparation of records for audits; assistance for the Association Treasurer and Finance Committee with financial reports, budgets, and reserve analyses; provision of required information for prospective buyers.
Manager’s Memos – Management regularly issues memoranda to owners and residents with important and useful information. These memos are kept on the Manager’s Memos as long as the information remains current. |
